Refund and Cancellation Policy
We understand that plans can change, and we want to make our approach to refunds and cancellations as clear and fair as possible.
This policy explains what happens if you need to cancel, if your program is cancelled by your university or by us, and how credits and refunds are managed.
It is designed to protect both you and our partners, while making sure we remain transparent and compliant with Australian Consumer Law.

Introduction
This Refund and Cancellation Policy is part of your contract with Reho Study Tours. It should be read alongside the Booking Terms and Conditions, Privacy Policy, and Code of Conduct.
If there is any inconsistency between this policy and information provided elsewhere (e.g. marketing, emails, verbal communication, or third-party providers), this policy will take precedence.
Cooling-Off Period
You may withdraw from a program within five (5) days of registration and receive a full refund of payments made, less a $90 administration fee, provided your registration was completed at least sixty-five (65) days before the scheduled departure.
Requests must be submitted in writing and acknowledged by Reho Study Tours to be valid.
Cancellation by You
If you cancel your program, the following terms apply (effective from when we receive written notice):
- 180 days or more before departure — your deposit will be held as a credit for a future Reho Study Tours program (see "Conditions of Credit").
- 60 to 179 days before departure — your deposit is forfeited, with no refund.
- 59 days or fewer before departure — 100% of the booking cost is forfeited, with no refund.
No refund is available if you fail to join a program, arrive late, leave early, or miss any part of the program.
No refund is available if you are removed from the program, for breaching the Code of Conduct or Booking Terms and Conditions.
Cancellation Due to Illness
If you cannot participate due to illness or injury, you must notify us in writing and provide a medical certificate from a registered doctor.
You must first make a claim with your travel insurance provider. Reho Study Tours will only consider a refund or credit once you provide evidence of your insurance claim and the insurer’s response.
Refunds or credits are discretionary, assessed case by case, and may be reduced by unrecoverable costs already incurred. Our decisions are final.
If you are removed from a program due to undisclosed or misrepresented health conditions, the cancellation charges outlined in "Cancellation by You" will apply.
Cancellations by the Group Authority
If a Group Authority (such as a school, university, or institution) removes you from a program, or cancels a program, the cancellation charges outlined in "Cancellation by You" will apply.
The Group Authority is responsible for communicating the decision to you. Reho Study Tours is not liable for costs, losses, or disputes arising from such cancellations.
In the event of such cancellation, there will be no claim for damages by either party against the other, and Reho Study Tours is not responsible for any incidental expenses that you may have incurred, including but not limited to visas, vaccinations, travel insurance excess, or non-refundable flights.
Cancellation by Reho Study Tours
If Reho Study Tours cancels your program, you may:
- Transfer amounts paid to another program,
- Receive a credit (see "Conditions of Credit"), or
- Receive a refund of amounts paid (unless cancelled due to a Force Majeure Event).
In the event of such cancellation, there will be no claim for damages by either party against the other, and Reho Study Tours is not responsible for any incidental expenses that you may have incurred, including but not limited to visas, vaccinations, travel insurance excess, or non-refundable flights.
Force Majeure and Extraordinary Circumstances
A program may be cancelled due to events beyond our reasonable control (“Force Majeure Events”). In such cases, you will be offered:
- A 100% credit for all monies paid (see "Conditions of Credit"), or
- A refund, less unrecoverable costs already incurred.
If cancellation occurs after your program has started, you will be offered:
- A 100% credit for unused days (see "Conditions of Credit"), or
- A refund of the unused portion, less unrecoverable costs.
A Force Majeure Event means any event or circumstance beyond the reasonable control of the parties, whether or not foreseeable, which would make it dangerous, impractical, or not viable for a program to commence or continue. This includes, but is not limited to: acts of God; war; civil commotion; riot; blockade or embargo; fire; explosion; breakdown; union dispute; earthquake; epidemic, pandemic or other public health emergency; flood; windstorm or other extreme weather event; lack or failure of sources of supply; passage of any law, order, proclamation, regulation, ordinance, demand, requisition or requirement or any other act of any government authority.
In the event of such cancellation, there will be no claim for damages by either party against the other, and Reho Study Tours is not responsible for any incidental expenses that you may have incurred, including but not limited to visas, vaccinations, travel insurance excess, or non-refundable flights.
Passports, Visas, and Travel Documentation
If you fail to obtain or disclose required passports, visas, or permits, or if these are refused, revoked, or delayed beyond your departure date, your booking will be treated as cancelled, and the cancellation charges outlined in "Cancellation by You" will apply.
Reho Study Tours is not responsible for costs or losses caused by missing or invalid documents. Even with valid documents, entry remains at the discretion of immigration authorities.
If your failure results in additional costs for Reho Study Tours or our partners (e.g. rebooking, emergency support), you are liable for these amounts in full.
Conditions of Credit
Any credit provided under this policy:
- Has no expiry date,
- May be used for any Reho Study Tours program,
- Cannot be transferred to another person,
- Cannot be redeemed for cash, and
- Cannot be used for flights or insurance (which have separate conditions).
Refund Processing Times
Refunds are normally processed within thirty (30) business days of cancellation confirmation.
If funds have already been paid to airlines, accommodation providers, or other third parties, extra time may be needed before a refund can be finalised.
Refunds Under Australian Consumer Law
Our services come with guarantees under Australian Consumer Law that cannot be excluded.
You are entitled to a replacement or refund for major failures, and compensation for reasonably foreseeable losses. You are also entitled to services being resupplied or replaced if the issue is not major.
Nothing in this policy affects your rights under the Australian Consumer Law.
Final Statement
Reho Study Tours applies this policy fairly and transparently, considering the interests of both participants and our partners.
Fees are clearly outlined at registration, and by confirming your booking you agree to these conditions.
This policy is designed to provide clarity and consistency while ensuring compliance with Australian Consumer Law.
